6 major steps involved in a Veson implementation 

During an integration engagement, our consultants work in close collaboration with our clients to: 

  1. Gather integration requirements 
  • Understand which software applications or data sources must be integrated and for what purpose. 
  1. Identify the most suitable integration methods and authorization protocol 
  • Determine the use of one or multiple Veson API’s, depending on the business workflows this integration is designed to support. 
  1. Identify data flows and data transformations 
  • Identify and document the specific data elements that must be exchanged to fulfill the integration requirements. 
  • Identify and document any required data transformations necessary to ensure system interoperability. 
  1. Coordinate development work 
  • While Veson offers a standardized set of messages and mutations, additional development may be required to accommodate specific client needs and to transform data into formats compatible with third-party software. 
  1. Manage testing and validation 
  • A Veson consultant will facilitate the execution of comprehensive testing procedures to ensure data accuracy, system performance and robust error handling. 
  • Any issues identified during testing are addressed collaboratively with client and third-party vendor. 
  1. Oversee go-live and hypercare 
  • The integration is deployed and subject to close monitoring to promptly identify and resolve any potential issues. 

How to ensure a successful accounting system integration  

Integrating the IMOS Platform (IMOS) with an enterprise resource planning system like SAP or Microsoft Dynamics 365 can significantly improve operational efficiency. 

While it may involve certain challenges, these are effectively addressed through proven methodologies and close collaboration. 

That’s where our Professional Services department comes in. Our consultants work closely with client’s accounting subject matter experts and third-party vendors to help them understand how IMOS captures operational data from voyages — such as vessels, port costs, freight revenue, and bunker consumption — and how that data can be accurately mapped to financial structures, like general ledger accounts and cost centers and any specificities of the client’s accounting setup. 

The correct mapping of these structures is fundamental for integration success. As the most common integrations that we see for IMOS clients, accounting system integration is something we have done countless times and is fundamental to a seamless workflow from pre-fixture through invoicing. 

Integration case study: optimizing vessel speed and bunker consumption 

One of our clients initiated an innovation project aimed at optimizing vessel speed to align with berth availability, reducing “hurry up and wait” occurrences and saving on bunker consumption and CO2 emissions. To support this initiative, they reached out to Veson’s Professional Services to facilitate a smooth and seamless integration between the voyage scheduling optimization tool and IMOS.  
 
We started the project by evaluating the workflow envisioned by the client and defining which data elements existing in IMOS were required by the algorithm being developed and the overall solution.  
 
The next step involved identifying the most suitable integration mechanisms to support the designed workflow.  
 
Using the Veson Focus API, we implemented a robust solution for this client. Now cargoes, vessels, and voyages can flow between the two systems, providing the business with a streamlined workflow where voyages scheduled in the voyage scheduling optimization tool are automatically created and updated in IMOS.
